Senior Project Manager: The World's Largest Independent Design Consultancy

Our client is a major multi-disciplinary, independently owned design studio whose owners are creators of the work and serve as primary contacts for every client. Demonstrated by a portfolio that spans five decades, many industries and clients of every size, its work encompasses graphics and identity, strategy and positioning, products and packaging, exhibitions and installations, websites and digital experiences, advertising and communications, data visualizations and typefaces, sound and motion. The agency’s 24 partners are all practicing designers, and whether working collaboratively or independently, they do so in friendship.

They currently seeks a hands on, sharp, and hard working Senior Project Manager to lead some of its largest revenue generating brands. Reporting into the Director of Project Management and managing more junior PMs, this candidate will be responsible for ushering a diverse array of projects (print, in store, and digital) from inception to completion as well as upholding the agency’s integrity of work/high aesthetic standards.

Responsibilities:

Project Planning & Delivery

– Manage the full project lifecycle from kickoff through delivery, maintaining schedule, scope, and quality at every stage.
– Develop detailed project plans to track progress, anticipate obstacles, and keep all parties aligned
– Assess and confirm the viability of proposed approaches early in the project lifecycle, in close collaboration with the partner and design team
– Ensure resource availability and allocation across concurrent projects
– Manage sourcing, bidding, and production with third-party vendors including printers, fabricators, photographers, and specialist consultants
– Take overall responsibility for the quality of all outgoing materials, establishing review processes that ensure accuracy, consistency, and alignment with the partner's standards
– Measure project performance using appropriate project management tools and methods
– Identify and manage project risks, and develop mitigation strategies as needed.
– Create and maintain comprehensive project documentation throughout the project lifecycle

Client & Team Management

– Serve as the primary day-to-day point of contact for clients, maintaining clear and consistent communication throughout the project
– Manage relationships between clients, consultants, vendors and the internal design team with professionalism and discretion
– Facilitate change requests and ensure all parties are informed of impacts to schedule, scope, and budget
– Prepare presentation materials and logistics for client and internal meetings.
– Support new business development by preparing project scoping documents, fee estimates, and pitch materials
– Collaborate with the communications team to develop case studies and manage the production process for publishing completed work

Financial Management

– Manage project billing, track budgets, and maintain accurate financial records across all active projects
– Track project profitability and lead the revenue forecasting for the partner’s portfolio of work and maintain a clear view of project P&L
– Ensure team resources are planned, used efficiently, and recorded using studio systems.
– Communicate financial status proactively to partners and flag concerns before they become problems

Studio Operations

– Coordinate internal and external project logistics, including scheduling, meeting organization, and deliverable tracking
– Contribute to the continuous improvement of project management workflows and studio operations
– Support the onboarding, training, and mentoring of junior project management staff
– Communicate project status and flag concerns to partners as needed

 Requirements:

– Five years’ project management experience in a design studio, creative agency, or closely related environment

– Excellent verbal, visual, and written communication skills; confident presenting to clients and internal teams alike

– Deep familiarity with project management processes, tools, and best practices in a design context

– Strong organizational skills with exceptional attention to detail and the ability to manage multiple projects simultaneously

– Genuine interest in and appreciation for design; ability to engage substantively with creative work and communicate its value to clients

– Proficiency in Microsoft Office, Google Suite, Figma, and Adobe InDesign; experience with Pitch and project management software such as Monday.com is a plus

– Bachelor’s degree in a relevant field or equivalent professional experience

– Project Management Professional (PMP) or PRINCE2 certification is a plus.
